COVID-19: An Update from MediCopy’s CEO

Our hearts go out to the individuals, businesses, and communities that have been affected by COVID-19. In response to the increasing number of cases and uncertainty domestically and around the world, I want to make you aware of the precautions Medicopy is taking to protect the health and safety of our clients, employees, their families, and our communities while maintaining a consistent level of customer service.

Customer Service and Remote Work

MediCopy is making every effort to ensure this situation does not affect the timeliness or quality of the work we are doing for you.

We are proud to have the technology and operations in place that enable our employees to efficiently and effectively provide customer service remotely. Many MediCopy employees have been asked to work from home and we are taking steps to practice social distancing. We have also established remote working guidelines for each of our lines of service to help ensure we meet our turnaround times and stay within State and Federal guidelines.

Patients & Customers may contact MediCopy through our online chat function on MediCopy.net or by phone at 866-587-6274. Requests for medical records can be faxed directly to your account manager. Please refer to your partnership packet for your account manager's contact information or reply to this email.

If you are expecting the arrival of a MediCopy team member and there is a reason why they should not come to your facility, please notify our Director of Client Engagement (Morgan.Daniels@MediCopy.net) or your account manager. MediCopy teams who are working onsite at our client's facilities have been advised to consult with their direct supervisor to learn of any special guidelines they need to follow, or if shifting to remote work is an option.

We will customize our approach to meet the specific needs of our individual clients, and we will adjust and communicate with you as circumstances change. 

Health and Safety

The health and safety of our employees, their families, our clients, and our communities are of critical importance to MediCopy.

Any employees who are ill or who have family in their homes exhibiting any symptoms of respiratory illness have been directed not to report to any of our offices nor to any client site. We recognize that if employees are not well, they may also need to take time off to manage their health needs.

We are following strict quarantine rules in alignment with the most up-to-date CDC guidance for employees (or who cohabitate with anyone who has been) in the event they come in contact with someone who has been exposed to or diagnosed with COVID-19 or has traveled outside of the U.S.

Flexibility and remote work options are available for employees, including those who are at a higher risk of contracting or suffering complications from COVID-19 and affected by school and childcare center closures.

Finally, we have instituted additional cleaning protocols at all of our office locations.

Travel and Meetings

MediCopy has suspended all unnecessary employee travel. Travel to client locations is being considered on a case-by-case basis.

We have asked our leaders to evaluate all events and meetings scheduled through April 30, 2020. 

Going Forward

MediCopy values our clients and the relationships we’ve developed over the last 20 years. We’re committed to staying connected with you and helping you through this unprecedented situation.

We expect this situation will continue to evolve. We will defer to the World Health Organization, CDC as well as state and local health authorities for their guidance regarding travel, quarantine, meetings, and events and adjust our policies accordingly.
